ROTARY ROOM


Intent


The Board offers the use of the Rotary Room and to community organizations, businesses, groups and individuals.

Regulations

The Rotary Room may be used for functions and activities that complement the basic purpose of the library and have received prior approval by the Library CEO and/or the Board. The primary use of the Rotary Room is for the Petawawa Library and Petawawa Rotary Club.

The Board encourages the use of the Rotary Room to exhibit items of interest to the public, such as memorabilia from local collectors. Items of potential controversy shall be referred to the Board for approval.

Rotary Room Procedures

  • Individuals and organizations wishing to rent the Rotary Room must complete an application to the Library CEO (available at the Library). The final decision is at the discretion of the Library CEO and/or the Petawawa Library Board with possible fee charges and duration of use (see Fee Schedule Appendix A).
  • Smoking is not permitted in the Rotary Room and/or within 9 m of the entrance.
  • The user must ensure that the Rotary Room remains clean, neat and tidy and is secured after use. This is also inclusive of the kitchen area. The user will be required to compensate the Petawawa Library for any damage or loss resulting from their use of the Rotary Room and failure to secure the facility.
  • Children and junior organizations may use the Rotary Room only under the supervision of an adult.
  • Granting permission to use the facility does not constitute an endorsement by the Petawawa Library Board of the user or their organization.An organization must clearly specify their own name in advertisements of meetings or functions held in the Rotary Room.
  • Fire Code Regulations permit an occupancy of up to 50 persons.

Petawawa Library Lobby Procedures

  • Organizations wishing to use the Library lobby must complete an application to the Library CEO (available at the Library). The final decision is at the discretion of the Library CEO and/or the Petawawa Library Board with possible fee charges and duration of use (see Fee Schedule Appendix A).
  • Smoking is not permitted in the lobby at any time and/or within 9 m of the entrance.
  • All displays must be situated to allow clear entrance to and from the library during hours of operation. The area must remain clean and tidy, and secured after use. The users will be required to compensate the library for any damages or loss resulting from their use of the lobby area.
  • Granting permission to use the lobby does not constitute an endorsement by the Library Board of the user or their organization. An organization must clearly specify their own name in advertisements of functions held in the lobby.
  • The Library CEO and the Petawawa Public Library Board reserve the right to revoke the use of the lobby at any time.
  • Fire Code Regulations require that a six foot wide unobstructed aisle is maintained at all times down the center to provide access to the exit doors. The washroom hall requires a three foot wide unobstructed aisle connecting the two doors.
  • Alcohol is not permitted in the lobby .

FEE SCHEDULE FOR THE ROTARY ROOM


Organization, Business --- $32.00 (max 4 hrs.)

Non-profit organizations (Minor soccer, minor hockey, etc.) --- Free for meetings.

Commercial events are to be negotiated (i.e. Showcase).

Displays (Arts, Crafts) --- 15% of all sales

Personal gatherings --- $75 per day

All setup and takedown is the responsibility of the group or organization using the Rotary Room and/or Lobby.

Refund of monies will be given if the event is cancelled within 72 hours. All rentals will be paid in advance of the event with the exception of the 15% profits on sales.
